What this is about<\/h2><p>We are an executive search firm. On behalf of client companies we identify specialists and executives, and we approach people whose professional background matches an open position.<\/p><p>This notice describes what data is involved \u2014 when visiting our website, when applying, when booking an appointment, and when being added to our candidate database.<\/p><h2>3. Visiting our website<\/h2><p>When you access our pages, your browser transmits technically necessary data which is stored in server log files:<\/p><ul><li>IP address<\/li><li>date and time of access<\/li><li>page requested, volume of data transferred, status code<\/li><li>referrer URL, browser type and operating system<\/li><\/ul><p><strong>Purpose:<\/strong>\u00a0delivering the page, system stability and security, defending against attacks.<br \/><strong>Legal basis:<\/strong>\u00a0Art. 6(1)(f) GDPR \u2014 our legitimate interest in secure operation.<br \/><strong>Retention:<\/strong>\u00a0we store log files only for as long as necessary for these purposes. They are not combined with other data.<\/p><p><strong>Hosting:<\/strong>\u00a0our website is operated by united-domains GmbH, Gautinger Str. 10, 82319 Starnberg, Germany. A data processing agreement pursuant to Art. 28 GDPR is in place.<\/p><p>Our recruiting system is operated on servers in Germany (Contabo GmbH, Nuremberg).<\/p><h2>4. Cookies<\/h2><p>Cookies are small text files stored by your browser. Contacting us<\/h2><p>If you contact us via the contact form, by email or by phone, we process your details in order to respond to your enquiry.<\/p><p><strong>Legal basis:<\/strong>\u00a0Art. 6(1)(b) GDPR for contract-related enquiries, otherwise Art. 6(1)(f) GDPR.<br \/><strong>Retention:<\/strong>\u00a0until the matter has been dealt with, then within statutory retention periods.<\/p><p>Our email traffic runs via Microsoft 365 (Microsoft Ireland Operations Ltd.) as processor.<\/p><h2>6. Appointment booking<\/h2><p>For initial and video calls we use a booking system within our own environment. We process your name, email address, the slot you select and any notes you add. Video calls take place via Microsoft Teams.<\/p><p><strong>Legal basis:<\/strong>\u00a0Art. 6(1)(b) GDPR (pre-contractual measures) or Art. 6(1)(f) GDPR.<\/p><h2>7. Job board and applications<\/h2><p>We publish open positions on our website. If you apply via the form, we process your contact details, your CV and the documents you submit.<\/p><p><strong>Purpose:<\/strong>\u00a0reviewing your application, matching it against the advertised position, communicating with you.<br \/><strong>Legal basis:<\/strong>\u00a0Art. 6(1)(b) GDPR in conjunction with \u00a7 26 BDSG, and beyond that your consent under Art. 6(1)(a) GDPR for further storage.<br \/><strong>Retention:<\/strong>\u00a0once the specific position has been filled and if you do not consent to further storage, we delete your documents six months after the process has concluded.<\/p><h2>8. Inclusion in our candidate database<\/h2><h3>8.1 If we approach you<\/h3><p>To identify suitable candidates we use publicly accessible professional networks, in particular LinkedIn. If we approach you for the first time without you having contacted us, your basic data originates from such public sources.<\/p><p>We process: name, career history, current and previous employers, position, qualifications, professional and language skills, and the public profile.<\/p><p><strong>Legal basis:<\/strong>\u00a0Art. 6(1)(f) GDPR. Our legitimate interest lies in placing specialists and executives. On a professional networking profile, being approached for professional purposes is to be expected.<\/p><p><strong>Your right to object:<\/strong>\u00a0you may object at any time under Art. 21 GDPR \u2014 informally to\u00a0<a href=\"mailto:datenschutz@dohrnconsultants.de\">datenschutz@dohrnconsultants.de<\/a>. We will then immediately block your data from any further use.<\/p><h3>8.2 If you consent<\/h3><p>If we wish to keep you in our candidate database on a lasting basis, we obtain your consent. You receive a personal link by email for this purpose.<\/p><p><strong>Legal basis:<\/strong>\u00a0Art. 6(1)(a) GDPR.<br \/><strong>Retention:<\/strong>\u00a0until you withdraw. At regular intervals we ask whether you still wish to be contacted.<br \/><strong>Withdrawal:<\/strong>\u00a0at any time via the link in our emails or informally by email. Withdrawal takes effect for the future; processing carried out up to that point remains lawful.<\/p><h3>8.3 What we store<\/h3><p>Contact details, career history, education, qualifications, language and professional skills, CV and submitted documents, salary expectations, availability and motivation to change roles, publicly available profile data, notes from conversations with you and our correspondence.<\/p><p><strong>Special categories of personal data<\/strong>\u00a0within the meaning of Art. 9 GDPR (such as health data, religion, ethnic origin, trade union membership) are not collected by us. If you provide such information unprompted, we do not process it for selection purposes.<\/p><h2>9. Matching against open positions<\/h2><p>To match profiles against the requirements of open positions we use technical pre-sorting methods. Profession-related information \u2014 career history, qualifications, professional skills \u2014 is processed in the course of this. Your name is not transmitted for this matching.<\/p><p><strong>Any decision on whether to approach you or present you to a client is made exclusively by a human being.<\/strong>\u00a0No automated decision-making within the meaning of Art. 22 GDPR takes place.<\/p><p><strong>Legal basis:<\/strong>\u00a0Art. 6(1)(f) GDPR or your consent under Art. 6(1)(a) GDPR.<\/p><h2>10. Sharing with our clients<\/h2><p>Before we present your documents to a client, we discuss it with you in each individual case. Recipients and processors<\/h2><p>We use carefully selected service providers who act on our instructions (Art. 28 GDPR):<\/p><ul><li><strong>Website hosting:<\/strong>\u00a0united-domains GmbH, Starnberg<\/li><li><strong>Hosting of the recruiting system:<\/strong>\u00a0Contabo GmbH, Nuremberg (servers located in Germany)<\/li><li><strong>Email and calendar:<\/strong>\u00a0Microsoft Ireland Operations Ltd.<\/li><li><strong>Technical pre-sorting of profiles:<\/strong>\u00a0language model processing providers; see section 12<\/li><li><strong>Tax advisors and IT maintenance<\/strong>\u00a0to the extent required<\/li><\/ul><p>Beyond this, we disclose data where we are legally obliged to do so.<\/p><h2>12. Transfers to third countries<\/h2><p>For the technical pre-sorting of profiles (section 9) we partly use service providers whose processing takes place outside the European Union. Such transfers are based on the European Commission&#8217;s standard contractual clauses pursuant to Art. 46(2)(c) GDPR.
